Each path is a card with its level, its title, a shortened description, and two buttons:
Courses: expands the courses it includes over the card. It shows the first three and, if there are more, a line with how many are left; to see the full list, go into the detail.
See more: opens the path's detail.
There are four levels, going from least to most demanding: Apprentice, Expert, Master and Legend. Whalemate paths also come with their badge; the ones you created don't.
If a path changed recently, the card has an amber label "Updated on:" with the date. It signals that the content was modified and that someone who already completed it may want to redo it.
The Filters button lets you narrow by title, level and language.
Watch the language: the filter starts with your company's language already selected. If a path is in another language, it does not appear in the list until you change that filter. It is the most common explanation for "I can't find the path they showed me".
The three-dot menu on the card, with Edit and Delete, appears only on paths created by your company: Whalemate paths can't be edited or deleted. On a computer the menu shows when you hover the mouse over the card; on a phone it is always visible.
The Learning Path Management button opens two options: Multiple assignment, to enroll several people in several paths at once, and creating a custom path. Assignment is explained in Assign a learning path, and creation has its own documentation.
At the top is the cover with the title, the description and the level, and two actions: Assign Learning Path, which opens the enrollment form (see Assign a learning path), and the download button that gives you the path's information as a PDF.
Below there are two tabs.
Courses. One card per course, in the order the employee will go through them, with its title and its subtitle. Each course's Description button expands its sections, one tile per section according to its type: reading, video, practice or exam. Click any of them to open a preview of the content as the employee will see it. On the right, the Learning Path Information stays fixed, with the full description.
Enrollments. One row per enrolled person, with Employee, Email, Personal ID, Department, Groups, Enrollment date, Due date and Status.
The row menu (⋯) changes according to the enrollment's status:
Extend due date: on Pending and Expired enrollments. It moves only the due date of that enrollment; it doesn't create another one and keeps the progress.
Reassign: on Completed, Updated - Redo and Expired. It creates a new enrollment for that person.
History and Delete: always there. History opens that person's timeline in the path: when it was assigned, which sections they completed, which quizzes they passed and with what score, and whether they finished.
To work in bulk, select several rows and use Delete multiple enrollments; the dialog confirms that the action deletes the selected enrollments.
Reschedule (button above the table) changes the due date of several enrollments at once; it lets you choose among the Pending and Expired ones. For a single person it is shorter to use Extend due date in their ⋯ menu.
Extend one person's deadline. ⋯ menu → Extend due date. Multiple assignment opens directly on Set the dates, with the path and the person in view. The Start Date can't be changed; the End Date comes with the current due date and you change it to the one you need. It has to be after the start and can't be before today. Save updates the enrollment that already exists and you go back to the Enrollments tab; Cancel goes back with no changes.
Reassign a path. ⋯ menu → Reassign. Multiple assignment opens on Choose employees, with that person already checked and the path fixed; you can add more people. In the dates step, the start comes with today and the due date with one month more. When you save, a new enrollment is created and the previous one stays as it was. If any of the checked people already has the path in progress, nobody is enrolled and the screen warns you "Uno o más empleados seleccionados ya tienen una inscripción activa en esta ruta de aprendizaje."
Only in-progress enrollments can be deleted. If the person already completed the path, or if their deadline expired, the removal is rejected: on a single row with "No se puede eliminar una inscripcion que ya ha sido completada" or "No se puede eliminar una inscripcion que ha expirado", and on a multiple selection with "No se pueden eliminar inscripciones completadas o expiradas". In that case none of the selected ones is deleted, not even the ones that were eligible.
Deleting an in-progress enrollment takes the path away from that person, and the progress they had with it. If what you need is to give them more time, use Reschedule instead of deleting and assigning again.
In History, when the path was assigned automatically because the person fell for a phishing simulation, the timeline marks it as "From phishing simulation".
I can't see a path that I know exists.
Most likely it's the language filter, which starts with your company's language already set: open Filters and change it, or set it to all languages. If it still doesn't appear, check that you don't have a level or title filter active.
Can I edit a Whalemate path?
No. Only paths created by your company have the Edit and Delete options. If you need a variant of one of our paths, create it as a custom path.
What does a path's level mean?
It is its degree of difficulty, from least to most: Apprentice, Expert, Master and Legend. It helps you not start an awareness program with the hardest path.
The card says "Updated on". Do I have to do something?
It means the path's content changed on that date. It is not reassigned on its own: if you care that your people see the new version, you have to assign it again.
I need to give more time to someone who didn't finish.
If it's one person, in the Enrollments tab use the ⋯ menu on their row → Extend due date. If it's several, use Reschedule. In both cases the progress is kept. There is no need to delete the enrollment or enroll again.
I don't see "Extend" or "Reassign" in a person's menu.
Each action appears only when it applies: Extend on Pending and Expired, Reassign on Completed, Updated - Redo and Expired. For a Completed employee the deadline isn't extended: if you want them to repeat the path, use Reassign.
