Remove enrollments that were assigned by mistake.
Go to a course's enrollments
In the side menu, Academy β Courses. Open the course you're interested in and go to Enrollments.
Read the table
Each row is an enrolled person, with: Personal ID, Employee, Email, Department, Groups, Course, Enrollment date, Due date, and Status.
The possible statuses are:
Pending β has the course assigned and is still within the deadline.
Due soon β has 30 days or less left until the due date.
Expired β the date passed and they didn't complete it.
Completed β they finished it. The row also shows the date they completed it.
Updated - Redo β the course changed after this person took it, so they have to take it again. The row shows the date of the last update.
Not assigned and Deleted β for enrollments that were removed.
Enroll someone new
At the top right, the Enrollment Management button β New Enrollment. It asks for three things:
Start Date β from when the person can take the course.
End Date β the deadline. It has to be after the start date.
Employees β a table where you check one or more people.
That table only shows people who are not yet enrolled in this course. If you search for someone and don't find them, it's because they already have the course assigned: you'll see them in the Enrollments table, not in the add one.
Extend the deadline for those who didn't make it
Enrollment Management β Reschedule. You choose a new end date, which can't be earlier than today, and check which enrollments to extend.
Only enrollments in Expired or Pending status can be rescheduled. Those already completed don't appear in the list, and neither do those that are due soon: if you need to extend one of those, you have to wait for it to expire.
Remove enrollments
You have two options:
For one: the row's three dot menu β Delete, with confirmation.
For several: Enrollment Management β Delete multiple enrollments, which lets you check the ones you want and warns that the action will delete the selected ones.
A deleted enrollment doesn't disappear from the table: it stays with Deleted status and its actions menu disabled.
Look at a person's history
The row's three dot menu β History. The Course Enrollment History opens, a timeline with the whole journey:
The course assignment, with the date.
If the enrollment came from a campaign, the "From phishing simulation" mark.
When the course started.
Each section completed.
The quiz: passed or failed, with the score and the required passing percentage.
The closing: completed, passed, or not passed, with its date.
It's because they're already enrolled in that course. The New Enrollment table only shows people who don't have it assigned yet. Look for them in the Enrollments table to see what state they're in.
No. Reschedule only accepts Expired or Pending enrollments. If the person has less than 30 days left, their status is "Due soon" and they don't appear in the reschedule list.
The enrollment stays listed with Deleted status and can no longer be acted on. If you need the person to take the course again, enroll them again: that creates a new enrollment, with its own deadline.
Because that course wasn't assigned by a person: the platform assigned it automatically when they fell for a phishing simulation configured with training assignment.
Yes, the New Enrollment table lets you check as many as you want. But if what you're looking for is to assign one or several courses to the whole organization, it's better to use Bulk Assignment, which has its own documentation.
