Design courses adapted to your organization's specific policies or needs.
Keep awareness content in one place, next to the Whalemate catalog.
Publish the course in the language you choose: Spanish, English or Portuguese.
Measure how your people are doing with quizzes and completion metrics.
Assign it later to employees, campaigns or learning paths.
Navigation: Concientización → Academia → Cursos
In the side menu, go to Awareness → Academy → Courses. You arrive at the Course List, where the Whalemate catalog and your company's own courses sit together. Click New, at the top right: a two-step wizard opens.
Step 1: Basic course information
Fill in the five fields. All are required:
Title: the name your people see.
Subtitle: extra text, up to 250 characters.
Description: summary of the content or the purpose.
Language: Spanish, English or Portuguese. It comes preselected with your company's main language.
Course image: drag it into the box or click to find it on your computer. Formats: JPG, PNG or WEBP.
Click Next to go to the sections, or Cancel to leave without creating the course.
Step 2: Course sections
Click Add section (top right; the bar stays fixed as you scroll). If you don't have any yet, the button also appears in the center of the screen.
Choose the content type. The section opens expanded and you fill it in right there, without leaving the screen:
Video: "Video summary". Upload a file or paste a link. Only YouTube or Vimeo links, or videos uploaded from there, are accepted; with any other source, the section warns that it is not supported.
Reading: "Written lesson". A text editor with headings, lists, quotes, links, code blocks, and the option to insert images, either from your organization's Media library or by uploading them from your computer, and videos inside the text.
Quiz: "Knowledge assessment". At least one question, each with its answers and exactly one marked as correct.
In each section, the Title is required; the Subtitle and the Description are optional.
Save each section when you finish it. Saved sections appear as collapsed rows that you can open again to edit them.
Reorder the sections by dragging them. The order of the list is the order in which your people go through the course.
To delete one, use the row action and confirm in the dialog.
When everything is ready, click Save. The message "Course saved successfully" appears and you go back to the Course List. The Back button takes you to the first step.
The course needs at least one section. If you try to save with none, the screen warns you: "Add at least one section before saving the course".
Watch out for unsaved sections. If you are editing a section and you save the course, the dialog "You have unsaved sections" appears: if you continue with Save the course anyway, those changes are not included. The same applies if you move to another section with pending changes: the platform asks if you want to discard them.
While you work, what you enter is saved in your browser. If you leave the screen and come back during the same session, the wizard resumes at the step where you were, with the data and sections you had entered.
The only exception is the course image: it can't be kept, so if you left before saving, the wizard takes you back to the first step so you can upload it again. When you save the course, or cancel, the saved progress is cleared.
This also applies when you edit a course that already exists: if you leave halfway through the edit and come back in the same session, the wizard shows you your unsaved changes, not the published content.
Search. The search box in the top bar looks at the title only: it does not search the description or the tags.
Filter. The Filters button opens a panel with three fields, which combine with each other:
Language: checkboxes for Spanish, English and Portuguese. You can check more than one.
Content: you type a tag and the platform suggests the ones that exist. Useful for narrowing by topic.
Custom: a switch that shows only the courses your company created, without the ones from the Whalemate catalog.
The filters you apply are shown as tags above the grid, each with an X to remove that filter alone, without opening the panel again.
Sort. With Sort by, in the top bar. The criteria are Name, Modification date, Creation date, Type and Enrollments, and the control next to it reverses the direction without changing the criterion. By default you see the courses newest first.
When you sort by Modification date, the list is split into blocks with the date above each one, so you can see at a glance what was changed and when. With the other criteria those headings do not appear, because grouping an alphabetical list by date would say nothing.
Catalog courses that were never modified have no date to show, so when sorting by Modification date they go at the end, without a heading of their own.
The grid is paginated 8 courses at a time. If you have many, the rest are on the next pages; the date blocks are built within each page, so the first card on each page always has its heading.
A course that had a content change in the last 30 days carries the Updated badge on its card, next to the language code. After 30 days it disappears on its own.
The courses your company created are edited and deleted from the three-dot menu on their card, in the Course List. Those two actions appear only on your company's custom courses: Whalemate catalog courses can't be edited or deleted, and in their menu you will see Enrollments, Assign and the options Assign to employees, Assign to a group, Assign to a department and Assign to everyone, but not Edit or Delete.
You can also edit your own course from its detail page: click the card and use the pencil that appears at the top right of the cover.
There is also the Custom Courses screen, which shows only yours and offers the same two actions. To get there, start creating a new course (Courses → New) and use the Custom Courses link in the breadcrumbs, above the form.
Edit opens the same two-step wizard, with the title, the image and all the sections already loaded. You change what you need and click Save: the changes are published right away and you go back to the Course List.
You can't delete a course that your people are taking. If the course has enrollments in progress, meaning people who have not finished it yet and whose deadline has not passed, the platform blocks the deletion and tells you.
This is on purpose: deleting that course used to erase the record of who took it and when, which is exactly what is checked in a compliance audit.
If you still need to delete it: go to Estadísticas → Inscripciones, remove the enrollments in progress for that course, and then delete it. Keep in mind that removing an enrollment does erase that person's record; the records of those who had already finished are not touched.
Right now there is no way to "retire" your own course without deleting it. The platform does not let you unpublish a company course: that control does not exist on the screen. It is the known limitation that comes with this rule.
And when you do delete a course, the history is kept. Before, deleting a course took with it the enrollments of everyone who had taken it: they disappeared from Enrollments and from the reports. Now they stay, with the course name and their status, completed or expired, even though the course no longer exists.
When you delete it, the course also stops being available in the course selectors for campaigns and learning paths.
This is the most important part of editing a course that is already in use:
Editing does not reassign the course or notify anyone. No email is sent, no progress is reset and no new enrollments are created. People who have it assigned see the new content the next time they enter, at the point where they left off.
Anyone who is taking it (status Pending) is not notified of anything. If you deleted or replaced a section they had already completed, their progress still counts: they do not start over, but they also do not see what you added as pending.
Anyone who already completed it gets the status Updated - Redo in the enrollment list, with the completion date next to it. It is an informational label so you know who might want to redo it: it does not require them to or reassign it. If you want them to go through it again, you have to assign it to them again.
How do I identify my custom courses?
They are in the same Course List as the Whalemate catalog. To see only your own, open Filters and turn on the Custom switch. You can also recognize them by their three-dot menu: your own offer Edit and Delete, the catalog ones don't.
I searched for a word that is in the course description and it doesn't show up.
The search looks only at the title. To narrow by topic, use the Content filter in the Filters panel.
What content types can I upload?
Video (your own file, or a YouTube or Vimeo link), formatted text with images, videos and code blocks, and multiple-choice quizzes.
Can I save the course half done and continue later?
Not as a half-done publishable draft: the course needs at least one section to be saved, and once saved it is published. What the platform does do is keep your progress as long as you don't close the browser session, and once it is saved you can keep editing it whenever you want.
I tried to delete a course and it won't let me. Why?
Because people are taking it: enrollments not completed and with the deadline still valid. Remove those enrollments from Estadísticas → Inscripciones and then you will be able to delete it.
If I delete a course, do I lose the record of who took it?
No. The enrollments stay in Enrollments and in the reports, with the course name and their status, even though the course no longer exists.
I want to take a course out of circulation without deleting it.
For now you can't: the platform does not let you unpublish your own course. The only way to make it stop being available is to delete it, under the rule above.
What does the "Updated" badge on a card mean?
That the course had a content change in the last 30 days. After that period, the badge disappears on its own.
I edited a course my people already had assigned. Do they get any notice?
No. No email is sent and nothing is reassigned: they will see the new content the next time they enter. For those who had already completed it, the status Updated - Redo appears in the enrollment list, but it is only a signal for you; if you want them to do it again, you have to assign it to them again.
Can I have the same course in several languages?
Yes, but as separate courses: each course has a single language and there is no function that generates the translated version. You have to create another course and choose the other language. Keep in mind that the Course List filters by language.
Can I assign the course to an active campaign?
Yes. Once saved, it is available in the course selectors for campaigns and learning paths, just like the catalog ones.
