The four steps that Whalemate suggests the first time you enter the panel: your company's data, the information used to build your simulations, your mail domain configuration, and uploading your collaborators.
Getting the platform ready in an order that works, instead of figuring out on your own what needs to be configured before launching the first campaign.
Loading at once the data that the rest of the product will reuse later: your brand's logo and color, the language, your Academy's URL, and the email address that receives phishing reports.
Giving the Whalemate team the context with which your simulations are designed: what tools your people use every day and what benefits they have.
Making sure the simulation emails don't end up in spam, with the Google Workspace and Microsoft guides on hand.
When you enter the panel for the first time, the wizard opens on its own and the side menu is reduced: until the setup is closed, the only section available is the wizard. This is not a menu error.
The setup is considered closed when your company has at least one collaborator loaded. There is no other signal: it's the only data point the system checks. As long as there are no collaborators, the wizard will appear again every time you log in, even if you already completed the four steps.
Only someone who logs in with Administrator access sees it. An Academy Administrator does not see it.
The screen is called "Close to the finish line!" and the four steps are displayed one below the other.
All fields are required except the last one:
Logo — the image must be in JPG or PNG format.
Organization name.
Country.
Main language — the language the panel is displayed in and used to filter content.
How many people are in your company?
Industry — eleven options: Banking, Retail, Education, Fintech, Healthcare, Media, Shipping, Technology, Transportation, Public Utilities, and Other.
Brand color.
Company slug — optional, up to 30 characters. It's your company's identifier and defines your Academy's address: academy.whalemate.com/#/tu-slug.
This step starts with a notice, "Fill in carefully!", and the reason is real: what you upload here is the input used to build your company's campaign calendar. All fields are required.
Tools — a fixed list of options to check. If none apply, check Other and the More tools field opens for you to write in your own.
Benefits — free text. What benefits your collaborators have, and whether there are agreements with any brand. This helps the simulations use believable pretexts.
Incident report email — one or more addresses, and they must be valid addresses. This is where your company receives the phishing alerts reported by your collaborators.
Two buttons, Configure Google Workspace and Configure Microsoft, which open the corresponding guide in a new tab. These are the exceptions that need to be created on your mail server so that Whalemate's simulation emails reach the inbox and not the spam folder.
This step does not check anything. You click Next when you've finished configuring it on your end; the wizard does not validate that the exceptions were created. If simulation emails don't arrive later on, this is the first place to check.
The Import from button opens the four ways to upload your roster: Template, Microsoft, G Suite, and Okta. Each one has its own documentation.
G Suite and Okta appear disabled if your company doesn't have that integration enabled. If you need to use them, write to us and we'll make them available.
Next to it is the Skip button, to do it later. Keep this in mind before using it:
Skip does not close the setup. It lets you enter the panel for that session, but since there are no collaborators loaded, the wizard will appear again the next time you log in and the menu will be reduced again. The only way to close it is to load at least one collaborator, either from here or from
Colaboradores → Empleados → Importar desde.
Step progress is saved in the browser, so if you switch computers, switch browsers, or clear the site's data, the wizard starts over from the first step. What you already loaded in steps 1 and 2 is not lost: that data remains saved and comes back pre-loaded.
I completed the wizard and when I logged back in it appeared again.
This is because there still isn't any collaborator loaded. The setup is considered finished when your company has at least one, so even if you've done the four steps, the wizard will come back until you import your roster.
I logged in and nothing else appears in the menu besides the wizard.
This is expected: until the setup is closed, the menu is reduced to the wizard. It opens completely as soon as you have collaborators loaded.
I switched computers and the wizard went back to the first step.
Progress is saved in the browser, not in your account. The data from the first two steps is already saved and you'll see it pre-loaded; you just need to move through the steps again.
I skipped the collaborator import. How do I do it later?
From Colaboradores → Empleados → Importar desde, with the same four options. Until you load at least one, the wizard will keep appearing every time you log in.
The wizard no longer appears and I want to change the logo or the report email. Where is it?
Your company's data is edited from the company settings, and the domain configuration guides are in this help center. The wizard doesn't open again once the setup has been closed.
